Group tours

All the tours running will have an equal ratio of Men & women. If you book as a group (kindly mention in the additional comments for requirements). The seats are allocated on basis of booking and in case a male or a female is left out alone by default will have a Single occupancy room or in some cases with leader (men or women).  

Yes (for certain category tours) we do provide porter services on the below group tours only.

As per our tour policies, all travellers are requested to take care of their personal belongings. The safety and security of the travellers belonging will not be borne by us.

We generally recommend not to carry any extravagantly expensive ornaments on the tour.

The tour manager and assistant roles and responsibilities are as follows:

  • Coordination between the travellers and tours
  • Making sure the tour is running smoothly
  • All the logistics are at place
  • The itinerary runs on time
  • The vehicles report on time
  • All services are served as promised
  • Keeping the group entertained and together
  • Handling any grievances or complaints with a smile
  • Handling any issues from the logistic end
  • Being a polite face and unbiased
  • Managing tour punctuality and discipline
  • Most of All – SMILING ALWAYS !!!!

All our domestic group tours are covered under insurance policy on additional payment. Provided the traveller select it as add on services.

All our international tours are covered under a mandatory travel insurance with an accident life cover of up to Rs.10 lac.

Basic Travel Quota (BTQ) per financial year is US$ 10000 or equivalent per person (maximum cash up to 3000 USD and 7000 USD by Travellers’ Cheques) for the leisure traveller & US$ 25000 for the business traveller

Euro and USD is globally accepted

Guests are free to carry the FOREX in cash however carrying The American Express Travellers’ Cheques is always advisable.

You can purchase the FOREX from our FOREX Division.

Domestic Travel: 

The baggage allowances are as follows:

The size of our group tours vary from minimum 10 to a maximum of 30 depending on the type of travel.

We believe in smaller groups so that utmost attention can be given to our travellers.

All the travellers joining us on our tours are from different walks of life and between the age of 24 to 75. Nevertheless the travellers are energetic and enthusiastic.

Yes, provided a prior intimation to the Tour manager or assistant so that necessary arrangements can be made. *The extension of stay will incur additional charges whatever applicable*.

We give the freedom of choice to our travellers, so if you want to opt only a part of the tour it is absolutely possible. Provided it is logistically available and the traveller will have to make his/her travel to the joining point by himself/herself.

One can make changes to the travel plan after the booking is done which is subject to realisation of the effective cost and how early or late the changes have been made.

We follow a strict refund policy as mentioned below under each circumstances: Terms & conditions

5c. CANCELLATIONS

WHEN WE CANCEL

The Company reserves the right to cancel a confirmed booking. We shall not cancel your confirmed “Long Duration” trip less than 30 days before departure unless we are forced to do so as a result of unusual and unforeseeable conditions beyond our control, the consequences of which we could not have avoided even with all due care. All “Short Duration” activities will be subject to cancellation if the minimum seat requirement is not filled up. If we cancel your trip (except where you have failed to make payment or as a result of force majeure) we shall offer you the option of purchasing an alternative trip from us of a similar standard to that originally booked, if available. If the chosen alternative is less expensive than your original trip we shall refund the difference but if it is more expensive, we shall ask you to pay the difference. Alternatively you are entitled to a refund of all monies you have paid to us save that paid for permits (if applicable) which can only be refunded if the refund has been made available to us. Except where we cancel for reasons other than those mentioned in this section, we shall have no additional charge to you. We are sorry we cannot pay any expenses and losses incurred as a result of any cancellation.

 

Where a significant element of the trip cannot be provided, we will make suitable alternative arrangements for the continuation of the trip. If it is not possible to provide a suitable alternative or the Client reasonably rejects any suitable alternatives, we may provide the Client a refund of unused trip portions. Where a significant alteration of planned activity or cancellation occurs which is not due to force majeure or other circumstances beyond the Company’s control, the Company will in some circumstances offer compensation.

 

WHEN YOU CANCEL

In-case you wish to cancel your confirmed “Long Duration” trip with us, then cancellation charges will be applicable as per following schedule:

 

Cancellation Period Charges Per Head
Less than 7 Days 100% of the trip price
7-14 Days 75% of the trip price
15-30 Days 50% of the trip price
More than 30 Days 25% of the trip price

We reserve the right to waiver the above charges on a case to case basis for reasonable reason.

 

In-case you wish to cancel your “Short Duration” trip due to any personal reasons, your initial 50% Advance with us is forfeited by you. Further, the Client name will be recorded in our list of “Cancelling” members. If the name repeats in the “Cancelling” member list for the 3rd time, we reserve the right to seek 100% deposit with such clients for confirming any further bookings made.

 

5d. UNUSED SERVICES

There will be no discounts or monies refunded for missed or unused services, this includes voluntary or involuntary termination/departure from tour, i.e. sickness, death of a family member etc., late arrival on the tour, or premature departure either voluntarily or involuntarily.

 

5e. PRICES AND SURCHARGES

No price increases will be made to a booking 30 days or less before departure. The Company reserves the right to impose surcharges (price increases) up to 30 days before departure due to unfavourable changes in exchange rates, increases in air fares or other transportation/fuel costs, increases in local operator costs, taxes, or if government action should require us to do so. The Company will absorb 2% of any such surcharge on the trip price. If the surcharge/price increase is for more than 2%, then the whole increase will be charged. If any surcharge results in an increase of more than 10% of the trip cost, the Client may cancel the booking within 14 days of notification of the surcharge and obtain a full refund of all monies paid (excluding the 10% non-refundable deposit). Cancellation requests must be received in writing or by email.

In such a case there are 2 options that we have:

  1. We give an alternate tour option on the same date
  2. The traveller can claim for a full refund if paid fully (We cancelled).

For travellers travelled with us for more than 10 times we have something called as “Happy Feet”  loyalty programs and discounts are sent to their registered email ID with us. Every time they travel will gain a flat discount offer.

For Senior citizens there are flat discounts on certain tours which are mentioned on the tour page.

If you have a group of more than 10 well than we have some good news for you.

Groups having people between 10-20 avail a special discounted rate.

Groups having people between 21-40 avail a flat rate

Anything above 40 will be customised to needs and will definitely be lower than any of the above.*

A child is considered of age between 05 yrs and above to 12 yrs.

An Infant is considered below 05 yrs.

Any child above 12 yrs is considered as an adult on a tour.

Well!!! We wouldn’t tire you by just walking on a tour. But a wise quote says “The most beautiful views were discovered on foot”. So if you want to explore some real beauty of a destination, it will have some walking.

Also if you have opted for a tour which is meant for walking for ex. Trekking without being said by default we walk for miles and miles and miles with a smile.

Certain tours do demand waking up early which will be communicated by the Tour manager.

Yes, our team on tour do give wake up calls to each traveller, despite a wake up call given by the nature by birds, winds and sun.

All disabled and senior citizens are assisted with special care as we send a special team on tour upon knowledge of such cases for a tour.

Yes, our most of the long tours are provided with one bottle of water per day.

All long tours are designed in such a way that every traveller gets free time to explore and leisure.

Yes, we definitely recommend our travellers for the best places to shop as our tour manager will assist on board joining you for shopping.

The tour manager shall make all necessary arrangements for your travel back home. (Some medical aid will be provided for relief) The arrangements made shall although be paid by you directly, the comapny will try to help as much as we can.

All our tours are equipped with advance first aid treatment equipment and medicine. All our leaders are trained on basic first aid treatment by PAS under medical experts. Our tour managers have great skill and knowledge in rendering first aid to a mark. They are trained for basic sickness as well as rescue, CPR, Sunburn, heat stroke, Frost bite, Stings & bites, Fractures & pulls.

Indeed!!! You can upgrade your travel class/airline by paying the surcharge and intimating us well in advance for making prior arrangements and not disappointing you.

All airlines have provision for a wheelchair which is to be intimated in prior to your ticketing agent/portal.

Definitely yes!! One can book their own air tickets and join us on a tour. Just be sure of being informed with the availability of the tour and definite time of arrival and departure of tour. Although on few tours we have prefixed tickets which are cheaper than online and actual price.

Yes, we ask our travellers to carry original ID proof while travelling for any ID check required on any tour. It is a must for emergencies.

Yes definitely, the tour leader/manager core work is to be available for the travellers and assist them all time.

All our tour leaders our multi-lingual and can communicate in widely spoken languages such as English, Hindi, Marathi, Gujarati.

They are very language friendly and have good hold on such languages.

The tours normally have a strong team for a group of 25-30. (Depends from tour to tour)

Team comprises of a tour manager, assistant tour manager, tour leader, Tour escorts, Guide.

We follow a ratio of 7:1 for trekking tours and 10:1 for wildlife tours for escorts/volunteers and the core team.

We welcome aboard every traveller who wish to explore. Yes even if you are a NRI, you can book an Indian tour subject the prices may differ if you do not hold an Indian passport for certain activities.

All our travellers belong to the age group of 20 – 70 years of age. We do have travellers elder and young at heart. Nevertheless age is just a number and doesn’t affect the tour in any way.

A tour manager/leader with a minimum experience of 5 yrs of leading leads a tour and are highly skilled and trained.

Normally one gypsy can accommodate 6 people, but we restrict it to 5 people a gypsy making room for some photographers on the rear seat.

We do provide Jain food, if informed us prior to make the arrangements.

NO!!!!!! We are really strict about tour disciplines and any kind of intake of alcohol/tobacco/smoking will not be entertained on the tour. On discovering anybody violating the tour rules will lead to termination from the tour on immediate basis. We try to keep it safe for all our travellers when they are travelling with us especially the kids, women and Sr.citizens. Neither our team is allowed to do so, if found you can report to the tour management cell immediately.

All of these bed sharing in one room and are described as follows:

  1. Twin share or double : 2 people sharing one room
  2. Triple Share : 3 people sharing one room with one person being accommodated on a single bed or cot or whatever available as per tour.
  3. Quad share : 4 people sharing one room/tent/cottage. (Mostly for school tours)

We normally keep our tours on twin or double share per room to keep it easy and convenient for our travellers.

Meals

  • Meals served on group tours are a mix of Vegetarian & Non-Vegetarian. Although the separation of veg and non veg is taken of the utmost care. There are few tours which are specifically only veg.
  • Meals for tour packages are on your choice.
  • All beverages served are non-alcoholic and we strictly condemn to this.

Yes. We do provide special meals on prior request. (Subject to payment)

Yes, for our few tours we do carry our own cook considering meal preferences of travellers.

  1. On certain group tours all bed tea/coffee, morning tea/coffee, evening tea/coffee are served
  2. Other refreshments are served at breakfast and high-T in group tours
  3. On all tour packages only breakfast time is when tea/coffee and other refreshments are served

One needs to write an email to accounts@theterntravellers.co.in/support@theterntravellers.co.in for claiming the refund. While you have to mention the below details in the email for claiming the refund:

  1. Tour name
  2. Booking ID
  3. Booking name
  4. Booking date
  5. Reason for Cancellation & Refund claim
  6. Cancellation date
  7. Refund registration date
  8. Refund amount claimed

After the email is received the team will scrutinise the booking and the status and will process for sanctioning. If the cancellation has been done according to our cancellation policies, the refund amount is initiated within 7 working days and you should receive it in 14 working days. If the refund claimed is after the tour ended for any unused services, the company holds the right to hold your money until authority sanctions the refund and we have received it from the vendor.

All refunds are subject to payment receiving from vendors and vendor cancellation charges. For more information you can contact support desk for details.

 

*Note: The refund will only be possible if the payments ain’t released from our side and if it is we have received it from the vendor. Upon receiving the refund from the vendor, withing 2 working days the refund is amount is processed and initiated and in 5 working days you can expect it in your bank account.

Safety

As per our tour policies, all travellers are requested to take care of their personal belongings. The safety and security of the travellers belonging will not be borne by us.

We generally recommend not to carry any extravagantly expensive ornaments on the tour.

All our domestic group tours are covered under insurance policy on additional payment. Provided the traveller select it as add on services.

All our international tours are covered under a mandatory travel insurance with an accident life cover of up to Rs.10 lac.

All our tours are equipped with advance first aid treatment equipment and medicine. All our leaders are trained on basic first aid treatment by PAS under medical experts. Our tour managers have great skill and knowledge in rendering first aid to a mark. They are trained for basic sickness as well as rescue, CPR, Sunburn, heat stroke, Frost bite, Stings & bites, Fractures & pulls.

The tours normally have a strong team for a group of 25-30. (Depends from tour to tour)

Team comprises of a tour manager, assistant tour manager, tour leader, Tour escorts, Guide.

We follow a ratio of 7:1 for trekking tours and 10:1 for wildlife tours for escorts/volunteers and the core team.

NO!!!!!! We are really strict about tour disciplines and any kind of intake of alcohol/tobacco/smoking will not be entertained on the tour. On discovering anybody violating the tour rules will lead to termination from the tour on immediate basis. We try to keep it safe for all our travellers when they are travelling with us especially the kids, women and Sr.citizens. Neither our team is allowed to do so, if found you can report to the tour management cell immediately.

Stay

Our hospitality team work efficiently to get the best resorts/hotels for our guests to stay. Since the amenities and facilities of the hotel depends from tour to tour. But to give an overview we make sure very carefully for at least the below amenities and facilities.

Yes, our team on tour do give wake up calls to each traveller, despite a wake up call given by the nature by birds, winds and sun.

  2. Triple Share : 3 people sharing one room with one person being accommodated on a single bed or cot or whatever available as per tour.

Tours

Guests are free to carry the FOREX in cash however carrying The American Express Travellers’ Cheques is always advisable.

One can make changes to the travel plan after the booking is done which is subject to realisation of the effective cost and how early or late the changes have been made.

For travellers travelled with us for more than 10 times we have something called as “Happy Feet”  loyalty programs and discounts are sent to their registered email ID with us. Every time they travel will gain a flat discount offer.

For Senior citizens there are flat discounts on certain tours which are mentioned on the tour page.

WHEN WE CANCEL

The Company reserves the right to cancel a confirmed booking. We shall not cancel your confirmed “Long Duration” trip less than 30 days before departure unless we are forced to do so as a result of unusual and unforeseeable conditions beyond our control, the consequences of which we could not have avoided even with all due care. All “Short Duration” activities will be subject to cancellation if the minimum seat requirement is not filled up. If we cancel your trip (except where you have failed to make payment or as a result of force majeure) we shall offer you the option of purchasing an alternative trip from us of a similar standard to that originally booked, if available. If the chosen alternative is less expensive than your original trip we shall refund the difference but if it is more expensive, we shall ask you to pay the difference. Alternatively you are entitled to a refund of all monies you have paid to us save that paid for permits (if applicable) which can only be refunded if the refund has been made available to us. Except where we cancel for reasons other than those mentioned in this section, we shall have no additional charge to you. We are sorry we cannot pay any expenses and losses incurred as a result of any cancellation.

 

Where a significant element of the trip cannot be provided, we will make suitable alternative arrangements for the continuation of the trip. If it is not possible to provide a suitable alternative or the Client reasonably rejects any suitable alternatives, we may provide the Client a refund of unused trip portions. Where a significant alteration of planned activity or cancellation occurs which is not due to force majeure or other circumstances beyond the Company’s control, the Company will in some circumstances offer compensation.

 

WHEN YOU CANCEL

5e. PRICES AND SURCHARGES

No price increases will be made to a booking 30 days or less before departure. The Company reserves the right to impose surcharges (price increases) up to 30 days before departure due to unfavourable changes in exchange rates, increases in air fares or other transportation/fuel costs, increases in local operator costs, taxes, or if government action should require us to do so. The Company will absorb 2% of any such surcharge on the trip price. If the surcharge/price increase is for more than 2%, then the whole increase will be charged. If any surcharge results in an increase of more than 10% of the trip cost, the Client may cancel the booking within 14 days of notification of the surcharge and obtain a full refund of all monies paid (excluding the 10% non-refundable deposit). Cancellation requests must be received in writing or by email.

Yes (for certain category tours) we do provide porter services on the below group tours only.

Well!!! We wouldn’t tire you by just walking on a tour. But a wise quote says “The most beautiful views were discovered on foot”. So if you want to explore some real beauty of a destination, it will have some walking.

Wildlife

Normally one gypsy can accommodate 6 people, but we restrict it to 5 people a gypsy making room for some photographers on the rear seat.
